Sacramento Charter Bus Pricing Factors
Along with the prices outlined above, there are a number of other factors which can affect your price quote as well. Below we’ll go through some of the main factors we consider when creating your personalized price quote.
Time of Year: There are some peak travel times, like the summer tourist season, major holidays such as Thanksgiving or Christmas, or during large sporting events and festivals, where prices can be higher due to limited availability.
Trip Duration & Mileage: Sacramento bus rental rates can be calculated by day, mileage, or hour depending on the itinerary and length of your trip. Short trips around town will cost less than trips that go further outside of town or last multiple days. If you’re planning a multi-day trip, you will also need to budget for your driver’s hotel accommodations, which are not included in your quote (talk to the hotel you’re staying at about adding on a room for your charter bus driver, many of them will give you a discounted rate).
Passenger count: The number of people in your group will determine which size of charter bus you need, and the larger the vehicle, the higher the base rate. We recommend having a finalized passenger count ready when you call to prevent accidentally paying for more seats than you need.
Advance Booking: The farther in advance you contact our team, the better rates we can provide and the more vehicle options you’ll have to choose from. We recommend calling at least six months in advance of your trip to secure a lower rate, but we always have vehicles on-hand for last-minute bookings.
Other Travel Related Costs: Some costs, like parking and tolls, lodging for drivers (required on multi-day trips), and gratuity for drivers, are not included in your quote, but should still be accounted for in your total Sacramento charter bus rental cost. Gratuity is completely optional, but highly recommended as a way to thank your driver for a job well done. Leaving a gratuity is completely optional, but we do recommend it as a way to thank your driver for a job well done. If you would like to tip your driver, industry standard is a cash tip equal to anywhere between 5-10% of the total trip cost.
When you’re ready to book your Sacramento charter bus rental, you’ll put down a 10%, non-refundable deposit to lock in your reservation. The remaining balance will be due 14 days prior to your trip date.

The Wedding at Vizcaya
Two grooms are planning their dream wedding at Vizcaya and want to provide a shuttle for themselves, the wedding party, and their families for the entire day of festivities. They will need transportation for 24 people, including themselves, from their hotel in Midtown to the venue and then back again at the end of the night. They are matched with a 25-passenger minibus for the day. As their wedding takes place around Christmas, a peak rental season, they will pay a slightly higher rate for this rental, bringing their wedding shuttle bus rental base rate to $2,150. After a 5% cash tip of $208, their final total comes to $2,258.

The Baseball Tournament in Los Angeles
A high school baseball coach is booking a full-size charter bus to transport 30 student athletes and 5 adults to a tournament in Los Angeles. They will leave on Wednesday morning and return the following Sunday, for a total trip duration of 5 days. At a daily rate of $1,700, the coach is quoted $8,500 total for a reliable, safe and streamlined sports team bus rental. The coach also knows this does not include required lodging for the charter bus driver and will separately factor that cost into the team transportation budget.
